The Documents functionality in GuestWisely brings together all the tools you need to create, manage, and share guest and owner-facing documents with ease and professionalism. Whether you're preparing a professional rental agreement, issuing invoices or receipts for guests and owners, or streamlining the signing process with secure Digital Signatures, this functionality empowers you to maintain accuracy, consistency, and brand integrity across every communication.


Rental Agreements

Rental Agreements are fully customizable to fit your operational style-from property-specific terms to branding details like logos and colors. The intuitive Agreement Configurator dynamically pulls all the relevant key data from your GuestWisely account, saving time and reducing errors, while giving you extensive control over structure, content, and formatting. 

Using the Agreement Configurator, you have powerful control over the structure and content of each agreement. You can:

  • Select specific properties to apply unique or tailored agreements

  • Edit predefined content that covers common clauses, such as cancellation policies, house rules, or liability terms

  • Insert your own free-text or custom sections to include specific requirements or region-specific legal language

  • Hide sections that aren’t relevant to a particular property or booking scenario

  • Automatically apply your branding, including your logo and color scheme, to maintain a consistent and professional look across all documents

GuestWisely further reduces manual work by auto-populating key information from your system-including guest details, reservation data, and property-specific settings-ensuring accuracy and minimizing the risk of error. Once your agreement is configured, you can use the built-in Preview Panel to see exactly how the final document will appear to guests.

Prefer to use your own documents? You can upload and assign them to one or multiple properties in just a few clicks.


Invoices & Receipts

When it comes to finances, Guest and Owner Invoices, along with Receipts, provide clear, structured summaries of charges, payments, and taxes. 

These documents are automatically generated for accuracy but can still be tailored to reflect your tone, layout preferences, and visual identity.While key financial figures are locked to ensure accuracy, you’ll still have the flexibility to:

  • Customize section titles

  • Add explanatory text or notes

  • Apply your branding elements, including logos and color schemes

These documents not only keep your financial communication organized and professional-they also build trust with guests and owners by providing full transparency.


Digital Signature

Our integrated Digital Signature feature allows guests to sign agreements online-quickly, securely, and directly from their email or booking confirmation. No printing, scanning, or manual chasing is required.

It’s a secure, efficient, and fully paperless process that helps ensure every agreement is completed and stored automatically—reducing back-and-forth communication and providing a smoother experience for both your team and your guests.

From first impression to final invoice, the Documents functionality ensures your communications are seamless, branded, and always one step ahead.


Arrival Form

Managing guest arrivals efficiently is a vital part of delivering a smooth and memorable hospitality experience. To support this, GuestWisely’s Arrival Form feature is designed to automate and simplify the guest check-in process, collecting all necessary information ahead of time with minimal effort. 


Owner Contracts

The Owner Contracts module is your all-in-one solution for creating, managing, and organizing property management agreements directly within your system. Found under Solutions > Owner Management > Owner Contracts, it streamlines the entire contract workflow, from drafting to archiving, saving time and reducing manual effort.
