Operto Teams - GuestWisely Integration

Introduction

The integration between GuestWisely Property Management Software and Operto Teams enables a smooth, automated flow of key reservation and guest data directly into your operations dashboard. By connecting the two platforms via API, property managers can streamline scheduling, task assignment, and team coordination based on real-time booking information.

In addition to core booking details, the following data is imported from GuestWisely into Operto Teams:

  • Check-in and check-out times

  • Guest name, email, and phone number

  • Number of guests and children

  • Notes from booking tags

  • Rent amounts

  • Calendar blocks


Important notes:

  • Blocks that contain the word “Owner” in their name are automatically recognized as Owner Stay bookings. 

  • Additionally, bookings with a check-in date more than 14 days in the past will not be updated through the API. To revise these, you’ll need to deactivate the imported booking and manually create a new one.

  • Guest notes are pulled from the Reservation Notes field in GuestWisely (double click any reservation to get to the Booking Editor > Record Notes > Reservation Notes ).


How to integrate Operto with GuestWisely 

1. Enable Operto

  • Locate the XXX bolt-on and click on Add+.

  • Scroll down and update your subscription to reflect the change.


2. Initial Setup

  • Go to Marketplace > Operto and select the Operto tile.

  • From this page, copy the following credentials: GuestWisely API Key and Password.


3. Connect GuestWisely to Operto Teams

In Operto Teams, go to:

  •  Setup > System Settings > API Connections

  • Click Add API Connection, then select the GuestWisely logo.

  • Click on the GuestWisely logo and enter the GuestWisely API Key and Password.


Migrating from another PMS to GuestWisely? 

Follow these steps to preserve your existing setup:

4. Property Matching 

Merge 365Villas feeds with your current properties:

  • Navigate to Setup >  Properties

  • Filter by Region: Not Assigned

  • Use Merge Feed To dropdown to link each GuestWisely feed with its corresponding existing property

5. Master Calendar Review

Check the Master Calendar to verify that all new bookings match the old ones. This ensures the integration was successful and data is consistent.

6. Update Task Scheduling

New bookings generate new tasks.

  • Use the Scheduling Calendar to align these tasks with your previous ones.

  • Copy over notes as needed.

7. Remove Old Bookings  

Once new bookings are verified and tasks are aligned, email help-teams@operto.com to request removal of old bookings from the calendar.

Note: Always review your Master Calendar for booking and property accuracy.


Troubleshooting Tips

  1. Search “GuestWisely” in the Operto Knowledge Base for specific import requirements or known issues.

  2. Use: Setup >  Properties > Actions > Request Pull from GuestWisely to retry the import.
