Introduction

GuestWisely’s Marketing & CRM solution gives you a complete toolkit to manage your contacts, design campaigns, and drive more bookings through smart promotions. Whether you want to segment your guest database, send targeted marketing emails, or apply strategic discounts, GuestWisely helps you do it all in one place.

Navigate to Solutions > Marketing & CRM to get started!

Contact Database

The Contact Database allows you to manage all your guest, owner and third-party contacts efficiently. You can filter, tag, upload, and edit contacts, making it easier to organize and utilize your database for marketing and CRM purposes. 

Navigate to Solutions > Marketing & CRM > Contact Database within your GuestWisely dashboard to get started.


Contact Sources

Contacts can come from three main sources:

  1. Reservations: Every booking automatically creates a contact entry.

  2. Bulk Upload:

    • Click Upload Contacts.

    • Download the Excel template.

    • Fill in contact details.

    • Upload either contacts only or contacts with transactions.

  1. Manual Entry: Click Add Contact and fill in the required information (at minimum: first name, last name, email).

  2. Arrival form: If the guest updates the information through Arrival form, the information is going to be saved in the Contact Database.

Filter contacts and bulk action

After filtering contacts by type, tags, audience or keyword:

  • Select contacts: Click Select All Contacts button or choose specific contacts.

  • Bulk actions: Download Contacts/ Delete Contacts/ Create Audience.


Create An Audience

  1. Filter and select the contacts you want to include for your marketing campaign.

  2. Click Create Audience button

  3. Enter a descriptive name for easy identification.

  4. Choose Where to Save:

    • GuestWisely: Save for campaigns within GuestWisely.

    • MailChimp: Save to your integrated MailChimp account.

  5. Click Save. Your audience is now ready to be used in the Campaign creation step.


Manage Tags

Tags help you categorize contacts for better organization.

  1. Navigate to Manage Tags.

  2. Select the tag type: Guest Tags or Owner Tags

  3. Enter a tag name (e.g., “Nature”) and click Add Tag.

  4. Assign Guests/Owners to the tag, and language.

  5. Existing tags can be edited or deleted.

Once tags are created, you can assign one or multiple tags to your contacts.

  • Select a contact to edit.

  • Add or remove tags (e.g., Family, VIP, Solo Traveler, Long Stay).

  • Save changes.

Tags make it easier to segment contacts for marketing campaigns or reporting.


Marketing Templates

In this section, you can design and manage email templates for your campaigns. GuestWisely provides ready-made System Templates for you to start with, and you can also create and save your own under Your Templates.

Navigate to Solutions > Marketing & CRM > Marketing Templates within your GuestWisely dashboard to get started.

In the Marketing Template section, you will see:

  • System templates: The system offers three template options.

  • Your templates: Your customized templates.


Create Your Template

Creating templates from scratch is not supported. Instead, you can customize System Templates:

  1. Select Template – Choose a System Template to begin. 

  2. Enter Basic Information:

  • Template Name & Your Logo (upload new or use existing in GuestWisely)

  • Header: Website address, Booking Page link (for “Book Now” button)

  • Footer: Company Name, Company Address

  1. Design – Adjust colors and fonts; updates show instantly in preview.

  2. Save – Click Save As New Template to create your template. Saved templates will appear under Your Template section.

  3. Use – Saved templates will also appear in the Campaign section for marketing.

To edit Your Template, select a template from Your Template list, make changes, then Save or Save As New.


Campaigns

In this tab, you will work through four main sections:

  1. Select an audience: Choose GuestWisely Audience or Mailchimp Audience (if integrated).

  2. Select your Template – Options include:

  • Previous Campaigns – Templates from past campaigns.

  • Saved Templates – Your Templates from the Marketing Template tab.

  • Communication Email –Custom email Template you created.

  • Mailchimp Templates – Available if your GuestWisely account is integrated with Mailchimp.

  1. Editing content : Once you have selected the audience and template, you can edit the content directly within the campaign.

  2. Choose the sender email: 

  • Similar to selecting an audience, you can choose which email address to use when sending the campaign.

  • You may also attach your email signature and files as needed.



Discounts & Promo

Boost bookings and revenue with GuestWisely’s flexible discounts and promotions. Reward direct bookers, entice last-minute travelers, or offer exclusive voucher codes.

Three key discount types:

  • Standard Discounts

  • Promotional Discounts

  • Airbnb Discounts

Leverage these tools to optimize pricing, attract diverse guest segments, and stay competitive. Navigate to Solutions > Marketing & CRM > Discounts & Promos within your GuestWisely dashboard to get started.


Standard Discounts

Applies to all bookings via PMS, website and Vrbo direct.

  • Discount campaigns: Enter a name for the discount.

  • Value or %: Enter a fixed amount or percentage.

  • From/To: Set the date range; stays must fall entirely within it.

If a booking meets the requirements of a Standard Discount, it will automatically appear as ticked in the booking’s Discount section. 

You can also manually add a Standard Discount to any booking if needed.



Promotional Discounts

Offer discounts via voucher codes, applicable only to website bookings (not supported by Channel Manager).

  • Promotion Name: Enter a label for the discount.

  • Promotion Code: Code entered by guests during booking.

  • Value or %: Enter discount amount or percentage.

  • From/To: Set date range; stays must fall entirely within it.

Note:

  • The system only allows one promotion to apply per promotion type.

    • If you set two Standard Discounts active at the same period, the system will automatically apply the one with the higher discount value.

    • If you set two Promotion Codes active at the same period, only one of them can be used for a booking.

  • However, if you apply one Standard Promotion and one Promotion Code together, then a booking can apply both. This is the expected system logic.


Airbnb Discounts

Discounts that are applied to all bookings via Airbnb Channel.

  • Discount name: Three defaults available ( Early-bird, Last-minute, Non-refundable)

  • Rule: Define the rule to apply.

  • Value: Enter the percentage.

  • Active: Tick to enable.

Note: Discounts can also be managed under Channel Manager > Airbnb > Airbnb Discount.
