Payment Management Part 2: Payment Methods & Payment Gateways

Introduction

GuestWisely connects with more than 30 popular Payment Gateways in the world to ensure that our users can authorize payment processes in any country that we support

With our advanced payment management Bolt-on features, every payment from your guest will be automatically scheduled, billed, and recorded. The automated process will give you a free-hand experience when using GuestWisely.




Note: While you can use different gateways or accounts per property, avoid offering duplicate card payment solutions (e.g., Stripe and Authorize.net for the same property).


Payment Methods Settings


Payment Gateway Settings

The Payment Gateway Method must be configured to connect with your properties. This will ensure that all payment gateways work correctly for each of your properties.

1. Click to choose the payment gateway you’d like to use for that property.

2. To use the selected payment gateway, please complete its setup by selecting it below and entering the required Key in the payment settings.

Important Notes:

  • Advanced Payments bolt-on applies only to new transactions after activation.

  • Automatic card charges follow your payment policies.

  • Automated installments can work with any payment gateway (like Stripe, Authorize.net, etc.) and are not limited to a specific one.

  • Not all payment processors support advanced features (e.g., automatic payments with PayPal)

Traditional Payment Method

GuestWisely also supports users who do not use any payment gateway software by allowing them to record transactions made through traditional payment methods such as cheque, bank transfer, or cash.

1. Select the option “I don't use any of the >30 providers below and would like some help getting set up with one.”

2. Indicate the other payments you accept: Bank Transfer, Check/Cheque, Other (cash).


3. Input payment Information.

4. Input instructions for another type of payment (Ex: If guests pay by cash, what do they need to do?).

Note: In the case of Bank Transfer, you can automatically include these details on your guest communication using the shortcode [BANK_TRANSFER_DETAILS].


Advanced Payments Bolt-on 

Advanced Payments bolt-on can be enabled for any payment method, whether you're using payment gateways or traditional methods.

  • Enable Advanced Payments bolt-on:  With Advanced Payments, all guest payments are automatically recorded in your GuestWisely account. If your booking requires multiple installments, future payments will be billed automatically. Once the initial payment is processed, the guest’s encrypted credit card details are securely stored, allowing you to charge or refund their card on demand directly from GuestWisely.

  • Automatically charge the card of your guests: GuestWisely will automatically charge your guest’s stored card based on your defined payment schedule.

  • Save your Payment Settings: To streamline operations and avoid reconfiguration, you can save your payment settings for all properties or select specific ones.



Payment gateway features in Guestwisely

  • Booking Engine Integration: Enable seamless online payments through "Credit Card" or "PayPal" options directly within the Guestwisely Booking Engine.

  • Rental Agreement Payment Links: Automatically embed payment links into your Rental Agreements for easy guest transactions.

  • Email Payment Requests: Send guests secure payment links via email using special shortcodes for quick and convenient processing.

  • Advanced Payment Options: With the Advanced Payment bolt-on, securely store guest credit card details, automate charges and refunds, and access additional payment management tools.


Short code payment link

To check your shortcode list:

1. Select Settings > Email Settings.

2. Click the Short Codes tab to navigate to the Short Codes page.

3. Click the Online Payments tab to navigate to the Online Booking / Payment-related Shortcodes.


Using payment link short codes in Unified Communication

This feature lets you enter a Payment Link short code to automatically create a Payment Gateway link and include it in emails sent to customers.

1. Both in Inquiries and Reservations, before replying to a customer, you can click the   icon to open the Short Codes List.

2. When the menu appears, select the Payment or Online Payment section to view the list of payment short codes. The selected short code will be automatically inserted into your text box.
